Terms of Service

1. About InsuBox
InsuBox (“we”, “us”, or “our”) operates a mobile application (used by insurance agents and surveyors) and a web portal (used by customers invited to submit photographs and by recipients viewing shared inspection reports), collectively referred to as the “Services”. InsuBox acts solely as a technology tool to facilitate the capture, organisation and submission of vehicle inspection data; it is not an insurer and has no role in claim assessment, claim approval, or settlement decisions.
2. Eligibility & Authorised Use
You may use InsuBox only if:
- You are at least 18 years of age.
- You are a licensed insurance agent, surveyor, loss assessor, or an employee authorised by an insurance company to conduct vehicle inspections — or you are a vehicle owner or authorised representative invited by such an agent to submit photographs via the web portal — or you are a person to whom an inspection report has been shared by an agent.
- You are using the Services for legitimate, professional insurance inspection or pre-inspection purposes.
- You have the authority to submit the information and photographs you upload on behalf of your organisation or the insurer you represent.
Use of the Services for personal, recreational, or non-insurance purposes is not permitted.
3. Account Registration & OTP Authentication
Access to InsuBox requires a valid Indian mobile number (+91). We verify your identity using a one-time password (OTP) sent via SMS. This applies to agents on the mobile app, customers on the web portal, and recipients accessing shared reports. You agree to:
- Provide accurate registration details.
- Keep your OTP confidential and not share it with any third party.
- Notify us immediately if you suspect unauthorised access to your account.
- Accept responsibility for all activity that occurs under your account.
OTP requests are rate-limited to discourage abuse. Sign-in tokens issued after OTP verification are valid for a limited period (currently 8 hours); after they expire you will be asked to verify your phone number again.
We reserve the right to suspend or terminate accounts where we suspect fraud, impersonation, or policy violations.
4. Photo & Video Capture, Processing & Data Accuracy
Each inspection photograph is processed on your device immediately before upload to embed a visible overlay containing the vehicle registration number, photo label, capture timestamp, and address derived from GPS. Location permission is required to capture inspection photographs. By submitting an inspection, you confirm that:
- All photographs are genuine, unaltered, and accurately represent the vehicle's actual condition at the time of inspection.
- No photograph has been manipulated or edited beyond the overlay applied automatically by the Services.
- Vehicle registration numbers and the other vehicle details you enter are accurate to the best of your knowledge.
- You have physically attended the inspection, or have verified that your delegated customer has done so.
Submitting false, misleading, or fabricated inspection data to support a fraudulent insurance claim is a criminal offence under Indian law and applicable insurance regulations. InsuBox will cooperate fully with law enforcement and regulatory investigations.
5. Customer Delegation Feature
InsuBox allows an agent to delegate the photo capture step to the vehicle owner or insured person (“customer”) by sharing a secure, time-limited link. The link is sent to the customer's mobile number by SMS; the agent may also share it through other channels. When using this feature:
- You must have obtained the customer's consent before sending them the delegation link.
- The customer's mobile number you provide must be correct and belong to the intended person.
- The customer will be asked to verify their identity via OTP and, on first use, to provide their name. A user account linked to their phone number is created on our servers and persists after the delegation is complete — as described in our Privacy Policy.
- Each photograph submitted by the customer is processed on the customer's device to embed an overlay containing the vehicle registration number, photo label, capture timestamp, and address derived from GPS before upload.
- You remain fully responsible for the accuracy and authenticity of photographs submitted under your delegation.
- You must review the customer-submitted photographs before finalising and submitting the inspection.
- Delegation links are short-lived by design — the exact duration is stated in the SMS the customer receives. If the link expires before the customer uploads, the agent can issue a new link to the same customer or close the inspection.
- Each inspection is locked to the customer phone number entered at the time of delegation; that phone number cannot be changed afterwards. To delegate to a different customer, the agent must close the current inspection and start a new one.
- One active delegation at a time: until your current delegation is completed, closed, or the link expires and you re-issue it, you cannot start a new customer delegation for a different inspection.
- You must not use the delegation feature to collect photographs from anyone other than the vehicle owner, driver, or an authorised representative of the insured.
6. Report Sharing & Recipients
Agents may share a completed inspection report with a limited number of recipients (currently up to 3) by entering each recipient's mobile phone number and, optionally, their email address. When you use this feature:
- The recipient's phone number is stored on our servers to control access to the report and to send them a secure link via SMS. If an email address is also provided, the same link is additionally sent by email.
- Recipients verify their identity via OTP before viewing the report. A user account linked to their phone number is created on our servers and persists — as described in our Privacy Policy.
- The date and time at which each recipient accesses the report are recorded.
- A shared report link remains valid for 30 days after each share; after that, the recipient must ask the agent to share the report again, which refreshes the 30-day access window on the same link.
- A recipient signing in to the web portal will see the list of inspection reports that have been shared with their phone number (the “Reports Shared With You” history). Recipients can download individual photos and documents from the report.
- You may remove a recipient from an inspection at any time. Removing a recipient stops their report from appearing in their history; existing downloads they have already taken cannot be revoked.
- You are responsible for ensuring you only share inspection records with authorised parties.
7. Subscription & Billing
Free Tier: InsuBox provides a free tier that includes a limited number of submitted inspections per calendar month. Only successfully submitted inspections count against this allowance — inspections that are closed without submission (including those whose customer link expired) do not consume your free quota. The current monthly allowance is displayed in the app and may change at our discretion. Unused free inspections do not carry over to the next month. The free tier may be modified or discontinued in the future at our discretion.
Paid Plans: Monthly and quarterly subscription plans are available and billed through your Google Play account. Prices are displayed in Indian Rupees (INR) within the app and are subject to change with prior notice. Paid plans currently include unlimited inspection submissions.
Auto-Renewal:Subscriptions purchased through Google Play automatically renew at the end of each billing period unless cancelled in accordance with Google Play's terms. Manage your subscription in the Google Play app under your account subscriptions.
Refunds:Subscription payments are non-refundable except as required by applicable law or Google Play's refund policy. Unused inspection quota does not carry over between billing periods.
Restore Purchases:If you reinstall the app or change devices, use the “Restore Purchases” option on the subscription screen to recover your active plan.
8. Data Collection & Storage
By using the Services, you acknowledge and consent to the following data practices:
- Personal data (name, phone number, email, agent ID, department, date of birth) is stored on our secure backend servers.
- Inspection photographs, walk-around video, and uploaded documents(photos as JPG, video as MP4, documents as PDF/JPG/PNG up to 10 MB each) are stored in private Microsoft Azure Blob Storage in the India region.
- GPS location data is captured with every inspection photograph and walk-around video and is embedded into the on-device photo overlay. It cannot be disabled while a photograph is being captured.
- Photo overlays — vehicle registration number, photo label, timestamp, and address derived from GPS — are burned into each photograph on your device before upload.
- Delegated customer and recipient data — phone numbers, names, and activity timestamps — are stored on our servers and persist beyond the active session, as described in our Privacy Policy.
- Diagnostic data from the mobile app, including your user account identifier, is sent to our error-monitoring service to help us improve app stability. Inspection content and payment data are excluded.

9. Third-Party Services
InsuBox integrates the following third-party services, each governed by their own terms and privacy policies:
- Google Play Billing — payment processing for subscriptions.
- RevenueCat — subscription state management and webhook delivery.
- Microsoft Azure Blob Storage (India) — storage of inspection photographs and documents.
- SMS Delivery Partner (Twilio or MSG91) — delivery of OTP codes, delegation links, and report access links.
- Email Delivery Partner (ZeptoMail) — delivery of report access links to recipients who have an email address on file.
- Expo Push (with Firebase Cloud Messaging on Android) — delivery of push notifications to the agent app.
- GlitchTip — crash and error monitoring for the mobile app.
- OpenStreetMap Nominatim & Google Play Services — reverse geocoding to convert GPS coordinates to a human-readable address.
- Expo Updates — delivery of mobile app code updates.
We are not responsible for the practices or content of these third-party services.
10. Push Notifications
The InsuBox mobile app sends push notifications to alert agents to events relating to their inspections — for example, when a customer has finished uploading delegated photographs, when an inspection review window is closing, when a delegation link has expired without an upload, or when an inspection has been automatically closed because the review window expired. You can enable or disable push notifications at any time in the app settings or in your device's notification settings. Disabling notifications may cause you to miss time-sensitive updates about your inspections.
11. Prohibited Conduct
You must not use InsuBox to:
- Submit fraudulent, fabricated, or manipulated inspection data.
- Conduct inspections for vehicles, claims, or policies you are not authorised to handle.
- Share your account credentials, delegation links, or report access links with unauthorised persons.
- Reverse engineer, decompile, or tamper with the Services or backend systems.
- Attempt to access data belonging to other users or organisations.
- Use automated bots, scrapers, or scripts to interact with the Services or API.
- Upload malware, viruses, or any harmful code.
- Violate any applicable law, regulation, or insurance industry guideline.
12. Intellectual Property
The InsuBox Services, their design, code, branding, and content are owned by InsuBox and protected by applicable intellectual property laws. You are granted a limited, non-exclusive, non-transferable licence to use the Services solely for their intended purpose. You may not copy, modify, distribute, or create derivative works from any part of the Services.
You retain ownership of the photographs and data you submit. By uploading content to InsuBox, you grant us a limited licence to store, process, and transmit that content solely to provide the inspection service and deliver it to the relevant insurer or authorised recipient.
13. Availability & Connectivity
We aim to keep the Services available at all times but cannot guarantee uninterrupted access. The mobile app and the web portal both require an active internet connection to submit inspections; captured photographs and walk-around video are uploaded in real time and are not stored on the device for later submission. You are responsible for ensuring you have connectivity at the moment of submission and for completing each inspection within any applicable deadlines displayed in the app.
14. Termination & Suspension
We may suspend or terminate your account without prior notice if:
- We detect or reasonably suspect fraudulent activity.
- You violate any provision of these Terms.
- Your subscription lapses and you do not renew within the grace period.
- We receive a valid legal or regulatory instruction to do so.
You may request account deletion by following our account deletion process or by contacting us at support@insubox.in. Inspection records may be retained as required by applicable law or insurer obligations even after account deletion.
15. Disclaimers
The Services are provided “as is” and “as available”. We make no warranties, express or implied, regarding:
- The Services being free from errors, bugs, or interruptions.
- Inspection submissions being accepted or approved by any insurer.
- Claim outcomes — InsuBox has no influence over claim decisions made by insurers.
- The accuracy of vehicle data or policy information entered by users.
16. Limitation of Liability
To the fullest extent permitted by law, InsuBox shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of or inability to use the Services, including but not limited to claim rejections, data loss, or loss of business opportunity.
17. Changes to These Terms
We may update these Terms from time to time. When we make material changes, we will notify you through the app or via SMS. Continued use of the Services after the updated terms take effect constitutes your acceptance of the changes. If you do not agree to the revised terms, you must stop using the Services.
18. Governing Law
These Terms are governed by and construed in accordance with the laws of India, including the Information Technology Act, 2000, the Digital Personal Data Protection Act, 2023, and applicable insurance regulations. Any disputes arising under these Terms shall be subject to the jurisdiction of the competent courts in India.
